  • Password (stored as a one-way hash; we never store your plaintext password)
  • Newsletter consent (opt-in checkbox at registration)

New accounts are created on the free membership tier. A paid membership tier is selected separately after registration.

We also store account-related metadata, including your registration date, last login time, email verification status, and subscription history.

2.2 Session Data

To operate the site, we store the following data in your browser session:

  • Your timezone identifier (e.g. "America/New_York") — used to display Zoom meeting times in your local time
  • Authentication state (whether you are logged in)
  • Temporary notification messages shown between page actions

Session Cookie

Session data is stored in a signed session cookie (cookie name: session). This cookie is strictly necessary for the site to function. It expires when you close your browser or log out. No session data is sold or shared with third parties.

2.3 Payment Information

For paid memberships and donations, payments are processed through PayPal. We do not store your credit card details. We store the following payment-related data on our servers:

  • PayPal subscription ID (current and any previous subscription IDs)
  • Subscription status (active, suspended, cancelled, expired)
  • Subscription start and expiry dates
  • Membership tier
  • Individual payment records: date, amount, and transaction status (for tax and account management purposes)

2.4 No-Color (Hardship) Membership Applications

If you apply for a No-Color (free hardship) membership, we collect and store:

  • A personal statement describing your reason for applying
  • A description of your current financial situation

This information is used solely to assess your eligibility and is reviewed only by site administrators. It is retained until your application is resolved and is not shared with third parties.

3. How We Use Your Data

We use your data for the following purposes:

  • Providing access to your account and membership content
  • Processing payments and managing subscriptions via PayPal
  • Verifying your email address when you register
  • Sending transactional emails relating to your account and membership (see Section 6)
  • Sending newsletters, if you have opted in
  • Displaying Zoom meeting times in your local timezone
  • Assessing No-Color membership applications
  • Maintaining payment records as required by applicable tax law

4. Data Retention

We retain your data for the following periods:

  • Account data: Until you delete your account or request deletion
  • Session data: Until you close your browser or log out
  • Payment records: As required by applicable tax law (typically 7–10 years)
  • Subscription history: Retained alongside your account for the lifetime of the account
  • No-Color application data: Until the application is resolved; deleted upon request
  • Email verification tokens: Expire after 24 hours

5. Your Rights Under GDPR

If you are located in the European Economic Area, you have the following rights regarding your personal data:

  • Right to access: Request a copy of the personal data we hold about you
  • Right to rectification: Request correction of inaccurate or incomplete data

6. Emails We Send

We send the following categories of email:

  • Transactional (account & membership): email verification, password reset, membership activation, membership changes, payment confirmation, payment failure notifications, membership renewal, and membership expiry notices
  • Newsletter: sent only to users who have opted in at registration or subsequently in their account settings. You can unsubscribe at any time via your account settings or by contacting us

All emails are sent via an SMTP provider. Email content may include your name and membership information. We do not use your email address for any purpose beyond those listed here.

7. Cookies

We use one strictly necessary cookie:

  • session: stores your login state, timezone preference, and temporary notification messages. This cookie is required for the site to operate. It expires when you close your browser or log out.

When you register for an account, this site loads Google reCAPTCHA (google.com/recaptcha) to verify that you are human. Google reCAPTCHA may set its own cookies during this process. These are strictly necessary to provide the registration service you are requesting and are subject to Google's Privacy Policy.

We do not use advertising cookies, analytics cookies, or any other tracking technologies.

8. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

  • Encrypted connections (HTTPS/TLS)
  • One-way password hashing
  • Regular security updates
  • Access controls and authentication

9. Third-Party Services

We use the following third-party services which may process personal data:

  • PayPal (paypal.com): payment processing for subscriptions and donations. Subject to PayPal's Privacy Policy.
  • Zoom (zoom.us): live video conferencing. The site displays Zoom meeting links; participation is subject to Zoom's Privacy Policy.
  • Google reCAPTCHA (google.com/recaptcha): CAPTCHA verification on the registration form. When you complete the CAPTCHA, your response and IP address are sent to Google for verification. Subject to Google's Privacy Policy.
  • jsDelivr CDN (cdn.jsdelivr.net): delivers open-source libraries (Bootstrap, etc.) used to display the site. Your browser makes direct requests to jsDelivr, which may log your IP address.
  • SMTP email provider: all transactional and newsletter emails are delivered via an external SMTP service. Email content, which may include your name and membership information, passes through this provider.
  • Cloudflare: the site may use Cloudflare as a reverse proxy and content delivery network. All traffic to this site may pass through Cloudflare's infrastructure. Subject to Cloudflare's Privacy Policy.
